We use Apple edu and jamf. When you use mdm for windows and for Macs you can definitely tell Apple had a head start, and the benefits of them only having to account for one os/vendor/etc is undeniable.

We use Macs, and order a dep/mdm enrolled machine for shipping direct to the user. They turn it on and connect it to wifi, select their language and location and it configures itself. When they’re done, if they need anything that requires windows, their vpn is configured and they can log into a terminal server. Least stressful hardware onboarding I’ve ever done.

It’s called the dunning-Kruger effect. Also happens with sysadmins that can’t look at situations objectively and assume everyone else is stupid - be careful not to fall into that trap.

If they won’t submit tickets, make them wait while you “help them” create one. A lot of the time as soon as it’s clear their dumber questions are going to be documented, they suddenly figure out how Google works.

We use Macs primarily so they tend to be fine up to 5-7 years, PC laptops may make it to 4 but the display clutches and LVDS cables tend to start failing around then.

I would love to experience this magical land where faculty learn to accept a “no, that’s illegal” or “no, that’s software piracy” or “no, the platform you are trying to use is not FERPA compliant” but that is never how it goes. “IT BAD AND TRYING TO PREVENT POSITIVE ACADEMIC OUTCOMES”. No, we’re trying to prevent the school from getting hit with expensive lawsuits, paying out for software piracy, losing federal funding, etc. It’s an age old fight where faculty won’t ever experience negative consequences for doing something they shouldn’t but IT most certainly does for allowing it.

In my experience, shadow IT usually springs up when people get a “no” but they want a “yes” and refuse to acknowledge that there are concrete reasons for that “no”. Faculty trying to circumvent network filtering to use BitTorrent on campus network “for the students” or actively sharing copyrighted materials “for the students”. Well, sorry, HEOA compliance says we \*have\* to stop you.

If IT is too constrained to support, there’s not a lot to be done. This is pretty typical of academic IT, lots of neat ideas and initiatives but absolutely zero backing where it’s needed. So, you’re told to do cool things, but nobody in IT has enough time to deal with it, nobody in IT is willing to be stuck with responsibility for it, etc. On the flip side, as district IT, have dodged many bullets cooked up by faculty that didn’t understand licensing, or FERPA, or something else critical - or they understand and simply don’t care because they want what they want and they aren’t the ones responsible for negative outcomes.

Anything they give you, you are going to argue with. District IT is typically so time constrained that the default is “no” unless someone who matters is requesting it, then it’s usually a more diplomatic no.

It could be simply that nobody in IT has the time or energy to care about a pet project when a form dumping to an excel document would work fine. There’s likely an entire review process behind it that district IT generally just don’t have time for and they’re shutting it down however they can. The typical district employee/user perspective for just about everything is “it’s not that complicated” or “it only takes a few minutes”, but it’s multiplied by hundreds or thousands of constituent users all feeling that their issue is not a big deal. No single snowflake is a threat but an avalanche can be a problem.

You ether stop answering the phone or make them go through the process of submitting a ticket while on the phone with you, being slow about it so it’s glaring apparent that the phone is no longer the path of least resistance. This requires management buy-in and support to handle complaints. This is a culture shift and takes a while. You will have employees that want to be the good guy and help over the phone - those employees will need to have conversations with IT leadership to make it clear that there are processes that will be followed if they want to remain a part of the team.

First, as a professional you handle things professionally. Nothing you do can reverse what has been set in motion. Nothing you did was (probably) the entire reason for the action being taken. It can be uncomfortable, that is a normal human reaction. Second, proper setup and documentation should mean there are termination processes in place. Find the plan, follow the plan, document everything.

Look into better Mac mdm, it’s more expensive but jamf is great for hand holding new admins and they have lots of documentation. I know there are others, I have no personal experience with them, so I’m not sure what the “new to mac management” posture is for those. There’s /r/macsysadmins too.
