Google Workspace, Microsoft365 or something else - For mostly just email

I assist a few small non Profits as a volunteer Admin. I've one that has been using their hosts cpanel for email and desperately need something better.
Both Google and Microsoft have generous non-Profit solutions that will offer them Zero Cost licences.
My thoughts are GoogleWorkspace is the simple to admin winner unless you get too big.
What the consensus out there...

For mostly email and small teams, Google Workspace is the easier choice, simpler to manage and people already know Gmail so adoption is smooth, Microsoft 365 is better if you need more control or heavy Office use but can feel overkill, I’ve seen similar setups and keeping things simple matters more than features, even outside email I ended up using and app called zenzap just to avoid scattered communication

This usually comes down less to “which is better” and more to how your team actually works day to day. Google Workspace tends to be simpler and more intuitive, especially for collaboration, while Microsoft 365 usually fits better in environments that already rely on Windows, Active Directory, or need tighter control over security and policies.

I’ve also seen cases where teams underestimated migration complexity, especially around email and permissions, so that’s something to plan carefully regardless of the choice.

For an organisation that has no staff, is running by volunteers only. So it's only for less than 10 email accounts mostly the board and editor.

M365 works well and basic plan is free for nonprofit that said they have been cutting back on free licenses over the years so no guarantee it will last.

I have helped multiple non-profits and always chose google. It is just simple to manage and requires so much less effort with users who sometimes don't have any experience from a corporate environment, so gmail and drive are more familiar to them.

Yes personally using Google workspace and yes its user friendly, can easily operate on both mobile and laptop, easily downloadable. Supports both iOS and Android equally for phones. Good with Windows as well

I do like the headline actually also had "something else". Considering te state of politics and of course , depending on where you are, the question of where the data actually is and who has access t it might be a driver also. Cloud Act, Patriot Act etc .. Just a thought really.

365 just because of the fact that you have control over it.
I've seen Google just disable entire small business accounts for no reason, with no recourse to recover. One day you can login, the next you can't. That's it, end of story.

You might find the Google Admin Console much easier and faster to manage. Microsoft’s backend (Entra ID/Intune) is powerful but much more complex and time-consuming to set up correctly.

My vote would be for M365, whether it's a small or large requirement. I've managed both types of instances, and I've also experienced the Google solution. The smallest M365 tenant that I've managed (and still managing, LOL), consists just of 1 fully-licensed user, one user licensed for web access only, and the admin account - that's it. The largest one was over 25,000 users.

Look at what security features you get in their non-profit solutions. Phishing and links to malware can make things difficult without warning. Even when they have nothing to steal an attack can be hard to come back from.
If they use mass emails to communicate, it’s probably better to use a service like MailChimp with a separate domain. Use WorkSpace or 365 for person-to-person contact.

I'd go Google over Microsoft any day. But the enshittification of Google Workspace is getting really irritating, so that might not be the best option either. If you don't need docs/file collab and all that good stuff, there's definitely other options out there that might be better, but I'm not very familiar with them.

365, no doubt. Security defaults will remove most of the admin headache. And it will scale better if they decide they need the installed versions of Office.
