Alternatives to CodeTwo Email Signature?
Posted by cyr0nk0r@reddit | sysadmin | View on Reddit | 41 comments
I just started at an organization, and they are currently using CodeTwo's Email Signature software and although it has its little quirks, the users say it's worked well enough.
While I was working to transition some other applications to SSO/SCIM I reached out to CodeTwo and they came back that their tool does not support SCIM for automated provisioning of users and licensing assignment/un-assignment.
I'm a bit baffled how a modern SaaS cloud offering would support Entra SSO, but not SCIM. Since we're a small outfit, I'm looking for every opportunity to automate our tasks, and manually assigning/un-assigning licensing during every onboarding or offboarding is not my idea of a productive day.
Are there any other similar services for email signatures that support SSO and SCIM?
I'm aware of Inky and will be reaching out to them but wanted to see if anyone else has other suggestions.

Why don't you try Sigsync Email signatures for Office 365?
JeanxPlay@reddit
SigSync is a terrible product compared to CodeTwo. I use CodeTwo in my main company and do consulting work for another company and they use SigSync and its a nightmare to navigate. Beyond that, the design template is annoying. The measurements on the templates dont trickle down to the emails actual signature properly. In the template, the side by side images lined up exactly perfect (specifically used table for this), but when applying to the signature, one image was bigger than the other and they were offset of each other.
AdrianWilliams27@reddit
Hey, I get your frustration, but honestly, We’re using Sigsync across a global organization with over 9,000 employees, and it’s been rock solid for us. The key is setting the correct dimensions for images and tables Sigsync provides full control over HTML and CSS customization, so if things aren't lining up properly, it’s usually down to the way the template was built. We’ve tested side-by-side elements, responsive layouts, and even dynamic placeholders everything renders perfectly across devices.
We actually moved away from CodeTwo because it lacked the centralized control and flexibility that Sigsync gives us. The real-time preview, Active Directory sync, and intuitive UI are major wins. Just my two cents once configured right, Sigsync does the job extremely well.

Hi there! It sounds like you’re needing a more streamlined way to handle user provisioning and licensing while keeping your email signature management consistent across your organization — definitely a challenge, especially when dealing with multiple tools! If you're exploring solutions, I wanted to mention Rocketseed as a potential option:
While CodeTwo offers a workaround for now, Rocketseed might offer a more streamlined approach to both user management and signature consistency, reducing the amount of manual work your team needs to do.Hope that helps, and feel free to reach out if you want more info or have any other questions! :)

Have a look at Set-OutlookSignatures: Email signatures and out-of-office replies for Exchange and all of Outlook. Full-featured, cost-effective, unsurpassed data privacy.
AntagonizedDane@reddit
My only complaint with CodeTwo so far is how the font of signatures will sometimes suddenly change on a whim, then go back to whatever font you used in the designer, just to act up a bit later.
So far their only solution to that issue is to try publish it again.
Adam_CodeTwoSoftware@reddit
Thanks for feedback. Usually, font-related issues rise up because recipients (or recipients' mail apps) don't have a certain font installed. That's why it's safest to use web-safe fonts - this should resolve all font-related problems. If you want to use a font that isn't on the web-safe list, make sure to add some fallbacks.

So I'm on board with your thought process here, but the question is, what's the reality? Do you really have that much turnover that this is happening frequently in a small org?
If this is something that happens once or twice a quarter, or maybe even a month, is that enough to warrant the time and effort to change?
cyr0nk0r@reddit (OP)
We're hire 3 or 4 people per week. This is almost a daily problem. Combined with all the other platforms that are also not currently SSO or SCIM it means a lot of unnecessary work.
Snowcaholic81@reddit
We use CodeTwo, and it doesn't need SCIM to accomplish its functions.
SCIM creates and syncs accounts, but in this case, CodeTwo just needs the address book (and any additional attributes)
The Outlook plugin (or their SMTP connector) will literally go, "Who is this trying to use me?" oh, x.y@company.com, based on your company/department/title/extensionattribute8/group-memberships or whatever, you get this signature.
As for Licensing, you buy a pool of, say, 400 licenses and the first 400 emails that trigger a rule get a license for a fixed number of days until disuse ages it out.
Occasionally we've had to open the admi portal to "reset" the license count to get a new starter going, but if you're doing that a lot, you probably need a few more licenses in the bucket.
We have had to increase the licenses due to requests for shared mailboxes, group emails needing a nice signature, etc.

Here is the problem, directly from CodeTwo's support folks.
VariousLawyer4183@reddit
The Removal is just one click. It's a monthly task of two minutes
cyr0nk0r@reddit (OP)
It's another thing to have to stay on top of. Along with the already other 100 things. Each cut doesn't seem like a big deal. But they add up.
VariousLawyer4183@reddit
I dig that, I work in a similar environment. But aren't there other tasks you could automate/ streamline? It seems a bit off to me that a two minute task is a low hanging fruit
cyr0nk0r@reddit (OP)
Is the aging out from disuse timer configurable? As cheap as the licenses are I don't mind having a larger pool, but the max timer can't be like 90 days or something.
Snowcaholic81@reddit
You're likely skirting a license re-use period from CodeTwo's T&Cs here, they may have a minimum usage period built in so customers don't take too much advantage, etc.
Not sure but I think M365 counts your monthly high-water level for users needing to have been licensed, i.e. 10% turnover in a month might okay at 100 staff, but at 1000+, 100 people coming and going might trigger an audit...
You're also on the money with the reset needing an easier trigger, especially if you can filter against a group list at the initial sync.
Tymanthius@reddit
Why not? Are you losing people that fast too?
topher358@reddit
OP, this is the right answer. You don’t need SCIM for CodeTwo
Tymanthius@reddit
w/ C2, when I had it set up, I just had to put them in AD, and then add them to an Azure group. all of which could be done via Pwsh script.
So while I get your desire, it seems changing your onboarding script that creates teh AD user to also add the proper groups would be an easier fix than moving to a whole new system.
Sasataf12@reddit
But is that worth moving over to a new provider?
I'm not sure how much Inky is (because they don't say on their site which is a red flag), but unless there's some other benefit apart from saving you a few minutes a week, spending the time and money to move to a new provider seems like a poor use of resources.
RCTID1975@reddit
Ok, but how long are you going to be at that hiring pace?
Unless you're looking for work, this isn't anything I'd be pushing. Especially considering if it goes south, or they lose functionality they didn't tell you was necessary, now it's your problem.
iamLisppy@reddit
This guy/gal IT manages.
modder9@reddit
Used to have Exclaimer and was looking to replace it with codetwo. Steer clear of Exclaimer.
Adam_CodeTwoSoftware@reddit
Hi, CodeTwo rep here. I've checked and our technicians are already working with you to solve this issue asap. You're in good hands.
cyr0nk0r@reddit (OP)
Full disclosure, CodeTwo has offered a workaround for our use case that satisfies the short-term problem while they work to implement automated license de-provisioning.
Thank you Adam.
Ommco@reddit
We use Exclaimer, almost the same as CodeTwo, but I do not see any info about the SCIM support though it supports SSO)
mckinnon81@reddit
We use CodeTwo for our clients.
We create a Dynamic Email enabled Security group with rules that users get added to.
This group is then given the allow option in CodeTwo and code two assigns the licenses just to the users in this group. All we need to to is ensure that the amount of users in the group match our number of CodeTwo licenses.
No_Slip1606@reddit
Just change your license scope in CodeTwo to target a dynamic security group in Entra and write the query logic that gets the new user added. This isn't something that requires a whole new configuration
cyr0nk0r@reddit (OP)
It's not about adding users. It's about assigning and unassigning licenses. From my understanding from their support, when a user gets off boarded we have to go manually unassign a license because when we pull the user from the scim group they don't yank the license on their side
WittySigner@reddit
I’m not familiar with SSO/SCIM support, but for my needs, i used MySignature email signature manager (Teams plan) or alternatively, newoldstamp.
No_Incident1031@reddit
Rocketseed?
GullibleDetective@reddit
What are you trying to solve
Disclaimers are builtin to 365 and free
omgdualies@reddit
Are you using the outlook plugin? We use CodeTwo and just have a group. We don’t not manually manage licenses. Users aren’t provisioned in their systems at all.
Adam_Kearn@reddit
Exclaimer works exactly like code two but IMO the desktop agent (used to sync updates) works a lot better.
HDClown@reddit
I'm not familiar with CodeTwo but in Exclaimer, you can assign users to signatures based on groups from your IdP (ie. Entra). That eliminates provisioning. There is also no license assignment in Exclaimer either, you pay for a quantity of license based on number of mailboxes that need signatures applied and it's basically an honor system for staying accurate on the count.
BWMerlin@reddit
You can do exactly the same in codetwo.
electronic_pimp1337@reddit
Sorry I cant answer regarding SCIM support but have you looked at Exclaimer Cloud?

It might be, I wouldn’t know, haven’t had to call them

https://www.rocketseed.com is what the company I work for uses. Should support your needs.
