Exclaimer works, but confused the hell out of users when they don't see their signature in their sent items. Also you'll need to modify the transport rules with conditions depending on your environment. After you setup Exclaimer, be sure to keep an eye on your Failed messages in Exchange trace logs.

I use CodeTwo at one of my clients. ~$2/user/mo (200 seats). I had to dust off my html skills to get the design up to the CMO's level but as it wasn't a problem. We have our external mail flow routed through their server so the users don't need to install anything on their end. Just know that if anything happens with the billing (Finance gave me a card number then canceled the card lol), turn off the exchange outbound connector to codetwo and you're back in business

Used it at two places now. Really enjoy it. Especially with SMTP based signatures. Of course it break employees brains when I tell them that it won’t show up in outlook but it will be on the message. (We used different first message v. reply sigs). Oh, it’s cheap too.

We didn’t require Outlook so we needed a solution that worked across web, Outlook, iOS/macOS mail, and whatever else mail client someone convinced management to approve. SMTP was the way. It also worked great for scan to email.

We’re the same. Like, I *could* let them in the portal, but if it goes wrong it’s normally someone high up who will get us to fix it, so it’s generally safer if we do it; even if it’s just making sure the logo heights are all uniform etc… One good knock on, contrary to someone else’s experience below, if they generally only want to make a tweak once or twice a term (school).

How about IT setting some general guidelines, maybe a training/overview, supported with some documentation and handing off the responsibility? I know it’s still a lot to expect end-users to be able to do basic things, but more and more I find my job is figuring out where that line in the sand of responsibilities lie when setting up new software and making sure employees are properly trained on doing their part, which frees me up to work on the next project.

That or code two. Keep in mind Outlook cloud storage or cloud sync is supposed to sync signatures across the cloud. Enforced via Intune policy under device configuration> settings catalog > search for Outlook or office cloud. You can also push it via config.office.com office cloud policies if you don't have Intune.

It highly depends on what you need to do. 3rd party solutions can provide a lot more flexibility for sure. Might even make it easier to juggle multiple signature types for different users. Only thing I don't like about the 3rd party solutions is that they seem to require that you route your mail to them so they can apply the signatures.

Not with CodeTwo, tho it needs some version of Outlook (web, desktop, mobile). IOS wont get signatures if using native app. But they way you can customize signatures is just incredible. i.e. you can schedule event banner to dynamic group of users like marketing team. You can have user portal where they can add own text to signature (degree title etc). All in all love the software.

There is 2 versions gateway type that works by modifying all emails. And plugin based that works on Outlook aps. Previously plugin vesion only supported Outlook desktop version. Now it works on mobile and web versions too.

Exclaimer is less than $1 per user and CodeTwo a little over a dollar per user. For all the arse ache that comes with self management like signatures not showing internally, signatures adding to replies, different teams needing different things on their signatures, marketing wanting to add time limited promotional text or whatever else you really aren't saving much money by doing it yourself rather than just getting a 3rd party tool and letting a business team like marketing manage the visual stuff, which is more their remit than it is IT's.

I tried to do this instead of those other applications since at the time we had defense contracts, the mail rules way of doing it seems nice but it becomes unruly, it sends every time on every reply and it shoves it at the bottom, while I got it working the real breaking were for users that needed encryption, since its a mail rule the text is added at the server level but encrypted at the client meaning users who encrypted their emails never got signatures.

We used Mimecast at my last MSP job and you can inject a dynamic signature on outgoing messages where you can use variables to adjust name, title, phone number, etc. It's great that it's built into the existing tool already in use for a ton of other functions.

I asked the same question here a few years ago and someone recommended CodeTwo. We've been using it ever since and been very happy with it. We have around 6 different signatures, with different departments or sales groups getting different signatures. They all share common elements in the signatures, with only promotional images being different. All pretty easy to setup and maintain. I know there are other options, but we're happy with the price and capabilities.

Codetwo is great for a paid solution. I just did an exchange mail flow rule that looks for our social media links. If it's missing then it appends the signature at the bottom. It can look a little funky sometimes but it works great after people save their signatures. We just ask everyone to email themselves and save the result.

Another +1 for Exclaimer The editor gets a lot of getting use to, and can cause you to be recreating parts of the signature all of a sudden because for some reason it will place the text for one filed on a different alignment to the rest of the line. I'd like to see it be able to ingest a signature straight from html (or even docx) as an import.

Nothing worked quite like I wanted, so I created a powershell script to do this for me, it runs on our Rundeck server and asks for a few variables. It then looks for keywords in a base signature to replace with the variables. We do quite a bit of whacky signature stuff so there are probably much better solutions for others
